Hello everyone! I am a lecturer for direct admission to the public examination. In the previous article we shared a practical example of a pitch deck. Today we will share the answer structure and writing method for briefing papers in informal documents. For reference.
Briefing
1. Concept: Briefings are responses and reports compiled and distributed by agencies, groups, enterprises and institutions , an internal document for exchanging experiences and communicating information.
2. Characteristics: fast (timely), new (novel), practical (accurate), short (concise).
3. Type: work briefing, dynamic briefing, meeting briefing.
4. Writing method:
Structure: header, report core, report trailer.
(1) Masthead: The masthead occupies 1/4 to 1/3 of the first page of the briefing. It is divided into four parts:
1. Briefing name: In the upper middle of the masthead, mark it in large, eye-catching characters (you can also put it in red). Such as "XX Briefing".
2. Number: Write the sequence number on the line below the name of the presentation. Such as "Issue X" or "No.
3. Preparation and printing unit: Write the full name of the briefing preparation and distribution unit in the top left box below the issue number.
4. Date: Write the date of issue of the briefing in the top right box below the issue number. "X day, month X, year X".
(2) Reporting: similar to the writing method of news reports or communications. It consists of title, beginning, body and end.
1. Title: Concisely summarize the content of the text (summarize the main idea), similar to the title of a press release.
2. Beginning: similar to the introduction of a press release. It is generally required to use concise words to clearly explain the time, location, significance, and role of the event straight to the point, and to remind the central idea of the briefing.
3. Main body: the center of the full text. Use sufficient, typical and authentic materials or data to explain the central content or main ideas (it can reflect the situation, affirm achievements, specific practices, existing problems, etc., or a combination of both). Be detailed and brief appropriately.
4. Ending: Whether or not to end should depend on the content. Analyze specific issues. If the given material has a closing point, it needs to include requirements, instructions, calls to action, etc. If there are no closing points in the material, you can omit it.
(3) Footer: After the main text, draw a horizontal line with two lines of words up and down. In the middle left top box, indicate the distribution range of the briefing, and in the right top box, indicate the number of copies to be issued. This part is necessary in actual work and can be skipped in the exam.
The above is the writing method of the informal document briefing I shared. In the next article I will share a practical example of a presentation. I hope you don’t miss it!
